The Europcar Business Fleet Services online management portal is a centralized automated platform, from where our clients can not only reserve and schedule the delivery of vehicles but also view all the pertinent details of their account with us.

In other words, they have perpetual access to our 9,500-strong fleet and, by simply logging onto the portal and following a very simple process, can arrange for a car, SUV, van or pickup to be delivered anywhere in Ireland.

However, this aspect of the service is not exclusive to Ireland, and inbound and outbound international reservations can also be made via the Europcar Business Fleet Services online management portal, though all billing will remain in Ireland.

Reliable Asset

One client of ours to benefit from the convenience and accessibility of the online management portal on a daily basis is Dublin-based fleet management firm HB Dennis Leasing. Joanne Gernon works in client services at HB Dennis Leasing and, with multiple fleets under her care, is often required to source and deliver replacement vehicles for clients.

“It just allows us to go in and reserve the cars without having to make a phone call,” she said. “I just have to enter the details and, once it goes through and gets confirmed, we get a reservation number to know it’s confirmed – so we don’t need to worry about it again.

“And, we always get the vehicles delivered by Europcar. We’ll put in the driver’s details, the date and time, and when we want the vehicle to be delivered and picked up.”

Seamless

In situations when clients of HB Dennis are in urgent need of a replacement, Joanne always first defers to a Europcar Business Fleet Services agent but, generally, the online management portal is sufficient, seamless and secure.

“Once the booking is made, we can then leave it alone. It’s only if we need to double check that something was done correctly, that we’ll go back in and look at the portal. But, usually, everything – which is the invoicing – comes into us by email, as does the monthly spreadsheet.

“It just allows us to go in and reserve the cars without having to make a phone call. I just have to enter the details and, once it goes through and gets confirmed, we get a reservation number to know it’s confirmed – so we don’t need to worry about it again,” she said.

It’s exceptionally rare that a day goes by without Joanne logging onto the online management portal, such is the scale of HB Dennis’ client portfolio, so access to a fleet as diverse as Europcar’s is also a distinct advantage.

“The main purpose is for the daily hires when our cars are in for a service and we need to book a one-day hire for the drivers to get out for the day,” she explained. “Normally, if it was long term, we’d be speaking to one of the Europcar team.

“A lot of the time we require vans or a certain type of car, like an automatic or a seven-seater. We’d generally need small, medium or large vans or saloon cars. A client may need work done on their car, so we can just arrange a replacement on the day. We could get five or 15 phone calls a day from people looking for a hire vehicle.”

Every Day

A longstanding client, HB Dennis began using the Europcar Business Fleet Services online management portal relatively recently and, according to Joanne, they’ve not once looked back.

“We didn’t always use the portal, but we have done for the last two years. We use to have a specific email address but now, we use the portal every day.

“We have the system saved, so all we have to do is log in and make reservations. We’d use the portal several times a day because it’s mainly for when our cars are in a need of service and the driver can’t be waiting around the garage for the whole day,” she said.
